Guidance Team Meeting

April 8, 2002

Melissa Goudelock—Opened the meeting with a prayer.

OLD MINUTES

Tom Morris—There were no objections to the last regularly scheduled meeting. They were approved.

FINANCE AND ADMINISTRATION TEAM

Billy Bland—We have $18,877 in our Checking Account. All of the bills are paid. $11,682 in Reserve Account, $7,033 in Building Fund Account. There were no questions.

FACILITIES AND MAINTAINANCE

Lynnette Bland—Scarlet locked herself in the nursery bathroom last week. Her mother took the door handle off with a screwdriver, but we needed to do something to take care of that. Frank has already gotten a new doorknob that does not lock. Also, there was some money stolen from Pat’s classroom in the other building. Frank got doorknobs that lock for all of the classrooms down there and moved one of those non-locking doorknobs up to the nursery bathroom. Frank Bender—I am going to put a lock on that classroom up front, but the door was so bet up; I have to do a little work on it yet. All the classrooms will be keyed alike. I still need to get locks to put on all the supply cabinets. It is time to start mowing grass next week. I will check with Bryan and see if he still wants to be on that committee. If he doesn’t, I need to get someone else. Wadene came down last week and mowed the grass around the portable. Lynnette Bland—we are having problems keeping the portable classrooms locked. We are having problems with the locks, and also if someone uses it, they are not locking it back. When the locks were moved from the old doors they have given us trouble ever since. Wadene—I will look at it for you. Jef Tobias—The toilet in the boy’s bathroom was running. I just jiggled the handle and it stopped. We need a new flapper. Billy Bland—I have one concern. Melissa called me the other week and asked if she could borrow some chairs. I don’t have a problem with that, but I think there needs to be a sign-out sheet. For weeks and weeks now I have been getting ice for the boys in our stainless steel bowl. Now the bowl is gone. Did someone borrow it? If they did, then when are they going to bring it back?

Does anybody know where it is? I think there should be a log-out sheet for anything that anybody wants to borrow.

VACATION BIBLE SCHOOL

Melissa Goudelock—It is going well. All teachers have their materials and I am going to have a meeting at the end of this month, maybe the 27th, to start decorating. Billy Bland—You are going to start that early. Melissa—I was going to use the first weekend in May, but Jef took that one. I am also looking at May 18th as a possibility. Billy Bland—Are you preparing for the New Hope Boys? Melissa Goudelock—yes.

CHILDREN

Pat Bender—There is nothing new. I will make sure that everyone has keys to the classrooms. Lynnette Bland—I am really concerned about the children going back behind the buildings. It is not safe back there. Stephanie Morris—I think it would be wise to make an announcement in service, and even put a sign up that NHCF is not responsible for accidents. Beth Zboran—there is a ditch back there and the Sunday that Dalton got hurt, Beth and Darrell’s grandkids were back there also. That scares me to death. Billy Bland—I just wondered does it ever occur to people to watch their children.

We will make announcements in church services.

EXTENDED CARE

Beth Long is not here.

TLC

Angie is not here

YOUTH AND PASSPORT

Donna is not here.

SHEPHERDS

Pat Bender—Shepherds have a meeting coming up this Sunday after church. I will be contacting them to remind them of the fact. We have rearranged the lists again, and Billy and I are going to get together and go over the membership list and if we change the list again, everyone will get a copy of the final list.

MUSIC

Wendi Berg had to leave but she had nothing to report.

PASTOR AND WORSHIP PLANNING

Jef Tobias—I have nothing for worship planning unless someone has some suggestions. There will be some multimedia starting this Sunday. As far as the Strategic Planning Retreat goes, I hope all got my email. We need two teams. A Ministry Assessment Team and an Environmental Assessment Team. We have three names that have agreed to serve; Billy Bland and Jeff and Donna Thompson. I am looking for people that have not been involved in leadership roles. Lynnette Bland—Beth Long is a real hard worker, I don’t know if she would be willing to do it, but she would be good if she has time.

Beth Zboran—Clyde or Carol Waters. Jef Tobias—I have been given Bud’s name. I have also been given the name of Stacy Sharpe. Beth Zboran-I will serve on a team. Put me on the Ministry Assessment Team. Jef Tobias—The Ministry Assessment Team must meet before the Retreat. The other team is not as pertinent before the Retreat. The environmental team will take twice as much time as the Ministry Assessment Team. I was considering taking the time to go where I need to go to get the information on the Demographics of this area. Beth Zboran—You will need to go to the Glass Building in Lexington, The Municipal Building for the County. It is the only solid glass building in downtown Lexington. Tom Morris—Joy Yell would be good. Jef Tobias--I am looking for people to help this church grow. This Group’s burden is going to become greater and greater, unless we begin to expand this group. We need to be able to include other people so that we can spread out all the stuff that needs to be done. That was my main thought. Tom Morris—One suggestion for people that are concerned about doing the leadership, Maybe somebody on this team would be mentor to them or help them. If you have never been a part of anything and you are asked to lead, you have no idea what to do. Stephanie Morris—Maybe you could have Jef be at the meetings there to help. Jef Tobias—I will be available. I will be at the meetings of both groups. I want to be there to go over the things on the lists. We could meet two hours and get the Ministry Assessment Team list covered. Donna Thompson said that she would present the report to the group, but she did not want to lead it. Billy Bland—Are the inserts that we are putting in the bulletin working? Jef Tobias—Not lately….. We do need to make sure the visitors get something but without singling them out. If you want to go to a single sheet, that has visitors on one-side and prayer requests on the other. Frank Bender—Could we get the information that is on the paper on both sides of a large index card? We could put them in little baskets on the chairs. They may not get scattered like that. Stephanie Morris—I think that no news is good news. When people are unhappy, they usually grumble and are glad to leave comments. I would say that the lack of response is a good thing.

FELLOWSHIP TEAM

Jo Eller—Spring fling will be April 21st at 5:30. Billy Bland—Does this have anything to do with Passport? Jo Eller—No. Tom Morris—Have you talked to Donna Mills about that? Nell Morris—She said that she would get with us, but we have heard back from her yet. Stephanie Morris—I have Sunday May 19th marked on my calendar that says Youth FundRaiser. I am assuming that this is a fund raising dinner. Lynnette Bland—If there is going to be a dinner on Sunday night, the boys will be here. We must provide for them. Billy bland—I have already talked to her about that. They will be taken care of. Tom Morris—Maybe we can ask people from the church to sponsor them or something.

PASTOR SUPPORT TEAM

Melissa Goudelock—We’re still hanging in there. We are trying to come up with a date to do our survey. It will be sometime in the next two months.

Tom Morris—The church Policies and Procedures Team met and elected Clyde Waters as the Chairperson and made some progress on developing a Decision-Making Policy for the church. We intend to have that ready to bring to the church at our next Business Meeting. That is our first step. We have another meeting scheduled later this month.

UNFINISHED BUSINESS

Tom Morris—There was a motion made in the last Guidance Team Meeting about the TLC committee. Lynette Bland—Donna said that she would get the minutes to the Guidance Team. Did she give them to anybody? Tom Morris—Since Angie took that over, maybe she can give them to Angie. Is there any other information on that?

Tom Morris—A few months ago, we were going to try to come up with a list of the members of the church. Pat Bender—I have the original list, but Billy says that he has an updated list and we need to get together. We are still going to have to make some phone calls. Billy Bland—The papers that Brenda Kneece had everybody fill out; do you have those? Pat Bender--No, I have the ones that Jimmy had us fill out. Brenda collected those and took them with her. Billy Bland—I thought she gave them to Francis. I have been going through the records, and basically there are adjustments that are going to have to be made. I have records on everybody that has ever been a member here. We need to plan a retreat. Pat Bender—Every time we try, and we think we have a direction to go in; it falls apart. Billy Bland—Our goal is before the next meeting to have the list.

Tom Morris—I wasn’t at the last Business Meeting, and I do not know what happened at it. Billy Bland—there is not going to be a second forum. Tom Morris—Was there anything else that was decided at that Business Meeting? Did we take minutes? Beth Zboran—No I did not. I guess that was my bad. Lynnette Bland—One thing that we voted on was changing the name of the Pastor Search Team to the Pastor Support Team, and they voted on the Pastor Survey. Tom Morris—We decided to tape them, and Francis Register is really the Church Clerk, and she is supposed to take them. Melissa Goudelock—I think she had to leave that day.

NEW BUSINESS

Tom Morris—I received a letter from Donna Thompson requesting to use the church buildings next April for a Tatting Day. It is supposed to be a big thing. They will have lectures, judging of Tatted pieces, vendors selling their wares, and a catered lunch. Stephanie Morris—I think that is great. All agreed. Tom Morris—Do I hear any objection to allowing her to do this. Frank Bender—I make a motion to let them have the church for that function. Melissa Goudelock—I second the motion. Motion Approved.

Jo Eller—Our class would like to sponsor and have fundraisers to get us a steeple to go on our church. Lynnette Bland—How much will it cost? Jo Eller—We are trying to find that out. Jef said about $3000. I say $5000, but I really don’t know. Tom Morris—would this be something that Materials and Maintenance would handle? Frank Bender—We are checking into it. Stephanie Morris—I have a question. Is it a general consensus that everybody wants a steeple? I just think that I am happy with it the way it is. Having a steeple is not that important to me. It must be very important. Jo Eller—I have had people ask me where our church is. They then say I thought that was a business. They also get us confused with the church across the street. How do y’all feel about having a steeple? I would really like to have a steeple. Tom Morris—Even if we put up a cross.

Billy Bland—Your class is going to raise the money to do this. Jo Eller—We could put a basket out in the foyer on the last Sunday of the month. Tom Morris—I think that maybe we need to coordinate it so that we don’t Fund Raise people to death. Pat Bender—Why don’t we wait to see how much it will cost.

Tom Morris—We decided to approve the Tatting Convention. Billy Bland—We set a goal to have Membership List, Policies and Procedures, and TLC Committee Rules and Regulations by the next meeting.

Billy Bland—I make a motion that we adjourn the meeting. No second.
