Guidance Team Meeting

Members in Attendance—Tom Morris, Beth Zboran, Frank Bender, Angie Martin, Billy Bland, Jo Eller, Nell Morris, Jef Tobias, Wadene Morris, Wendi Berg, Beth Long, Stephanie Morris, Lynnette Bland, Carol Waters, and Clyde Waters.

 

Tom Morris—Brought the meeting to order. Angie Martin opened it with prayer.

TEAM REPORTS

 

FINANCE AND ADMINISTRATION

Billy Bland—We do not have a color copier.  I checked the book. It copies in black but it only scans in color.  Stephanie Morris—What is the point in scanning in color? Billy Bland—You can hook it up to a computer and scan pictures in that are color, but it will not copy in color.

Billy Bland—Does everybody have a copy of the budget? We have$17,739 in our Checking Account, $11,708 in our Reserve Fund, and $7640 in our Building Account.Total of $37,087. If you look at the total income it is right at $29,000, and our expense is right at $35,000. We have spent  $7,000 more than we have taken in. Under pastor where it says Salary. That is salary that we paid Pastors, but not all this pastor.  Also, the Pastor’s Expense Allowance is what the Pastor Support Team spent. I didn’t know where else to put it.  That is the Barbeque thing that we had and some other minor items. If you go down the sheet, and you are a budget steward or a team leader, you can see on the left what we have spent, and on the right what we have budgeted.  If you have any questions about it get with me later.  On the bottom it says total other expense, this was where we voted to give Jef moving expenses and we reimbursed him for a truck he rented, and we gave Carson a gift.  We have spent $7,000 more than we have taken in.

 

FACILITIES AND MAINTANENCE

Lynnette Bland—At the last G. T. Meeting we thought it was a good idea to come up with a sign out sheet for people to take things from the church, and we can keep up with them.  I did the pick and shovel work, and Billy did the computer work. Please look at them and if you have any questions let us know. If they are ok, we will implement them, or we will make changes. Wendi Berg—I think it looks real good. Tom Morris—Does anybody have an objection to this form?  Beth Zboran—I make a motion that we accept it.  Beth Long—I second it.  MOTION CARRIED 

Lynnette Bland—Someone locked the door to the copy room, and we do not have a key.  Frank, Tom, and Wadene went through the ceiling and took the lock assembly out of the handle.  If anyone feels we need to lock that door, then we need to see about getting it fixed, and having a key.  Wadene Morris—I have been cutting on the heat and air this month, and I don’t have keys to the classrooms in the lower building.  Billy Bland—There is one in the copier room. There are 3 or 4 keys in there. Take one. 

Frank Bender—When Ms. Evelyn passed away, she donated the van that we used to transport her to the church.  I don’t know whether we should use it for the church, or sell it and use the money. She did have visions of it being used for outreach and transporting the kids to Passport . We have to tax and title it, and we will have to carry insurance on it. Lynnette Bland—Is it reliable for transporting the kids to Passport?  Frank Bender—I think it is. It needs to be retrofitted back and bench seats need to be installed, but I think it is reliable. Billy Bland—Do you know when the insurance is due? Angie Martin—The insurance is about $35 a month. Billy Bland—We need to go ahead and take it over before we use if for church business. Lynnette Bland—I think there is a difference in commercial and residential insurance.  We may need to check all of these things out. Tom Morris—Will the Facilities and Maintenance Team check into the details for this and report back to us next month?  Frank Bender—The van has 40,000 miles on the engine and 155,000 on the body.  Wadene—How many people will it carry?  Frank Bender—I think at tops, it will carry 9. We will have to put bench seats back in it.  It has a trailer hitch on it. We could pull a trailer behind it.  It has a roof rack on it for luggage.

 

VACATION BIBLE SCHOOL

 

Beth Zboran—Melissa left a message with me that VBS is going well. Nobody showed up tonight to decorate, but she will reschedule one day soon. It is going fine.

 

CHILDREN’S REPORT

 

Frank Bender—Pat said that she had no new news. Lynnette Bland—I will like to make a suggestion, right now all of us are using whatever literature we can find for our different age groups.  At the CBF I attended a meeting put on buy Smith and Helwys. They are offering a new curriculum that is to begin in Sept.  It will allow for toddlers on up through 6th grade children.  We would all be teaching the same story on every Sunday.  It is a scope and sequence and will last for 6 years.  We have run into the literature duplication problem.  It is not more expensive because it cycles on a 4-month cycle. Angie—Do they have anything for youth.  Lynnette—I asked about that, but the person was only putting this on behalf of Smith and Helwys.  They did not know about the youth.  Billy—The money that was stolen from Pat’s class was returned.  I will give that to her the next time I see her.

 

EXTENDED CARE

 

Beth Long—I was in there this past Sunday, with Kim Potter.  We had her niece and 4 babies.  We definitely need two people in there.  We are about to outgrow the room. Several of the people that help out have older children, like the Yells, You get the older children in there and there is no room for the babies.  You definitely need two people in there.  Tom Morris—I have been thinking about this also since the scandal with the Catholic Church.  I feel we need two adults in sight at all times.  Beth Long—the babies get upset and they want mommy.  Jo—The parents need to not go into the room between Sunday School and Church. Beth Zboran—Why don’t we try to draw up some parents guidelines? Let the parents know that when they come in the children get upset and we would like to try not having them visit between SS and Church.  Beth Long—We also need some cubbies for all of their bags.  We had 4 bags this past Sunday and it was hectic trying to keep it straight.  I also don’t know what the parents think about the older kids being in there.  Billy Bland—The older kids are not supposed to be in there. Don’t you have the nursery guidelines? Beth Long—I had that out…..Tom Morris—Maybe you need to have a meeting with all of the workers. The Facilities and Maintenance team could put Cubbies and a Dutch door in the nursery.

 

TLC TEAM

 

Angie Martin—I don’t have anything to report, and I am still waiting for the guidelines.  Billy Bland—I found a job description for the TLC Committee. I will read it out loud and give it to Angie. 

 

The Primary job of this team is:

Send flowers to hospital, deaths, organize meals and send cards.

Maintain a bereavement box.  Organize meals by using the Shepherds list.

Most Urgent priorities of this team are to meet the needs as they arise and give TLC.

 

TLC Rules:

Bereavement box—Death in immediate family

Sickness—Hospital-flower for long term—Member or a child

                                  Card if stay is one day or less for member or child.

Death of a member—Flower and if it is the member, spouse, parent or child you get a meal if it is local.  If it is a parent or sibling out of town, you get a card.

 

Three year terms and you can serve as many consecutive terms as you want.

 

Billy—Angie you can update that if you like it.

 

PASSPORT

 

Donna Mills is not here.  Beth Long—apparently we are not having a Youth fund-raiser this Sunday because nobody knows anything about it.  It is in the minutes, but there have been not preparations. Frank Bender—Who is her assistant?  Tom Morris—I am on the team.  Stephanie—I am a parent of a kid going to Passport.  Frank Bender—I think that someone should contact her about taking it over.  Nell—Do we need to plan something for this Sunday?  Tom Morris—We need to check on this thing first.  The only problem that I have is that we are going to be gone most of the next month.  Jo Eller—We could have Ice Cream and Cake.  All Agreed.   Beth Zboran—Why don’t we have the kids stand up on Sunday and tell what those shoes are about.  Stephanie—I will have a poster out there on Sunday.

 

 

SHEPHERDS

 

Frank Bender—There is no news from the Shepherds.

 

MUSIC

 

Wendi Berg—We desperately need a piano.  It was discussed and decided that Wendi will check into the cost of a piano.  Jef Tobias suggested an electronic piano.  Wendi had no objections as long as the keys were piano weighted.

 

WORSHIP AND PLANNING

 

Jef Tobias—I would like to have a Worship Planning Team meeting the first Monday of every month after Choir.

 

On July 21 we have been asked to allow the musical group Koinonia play at our church. Nell Green’s daughter is a member of the band Nell Green is a Missionary from Belgium.

It was agreed that we would host the band and have a pot luck dinner after the service. Motion passed.

 

May 26th there will be a baptism at St. Andrews Baptist church.  Britney and Dalton will be baptized at 6:30pm. 

 

There is also a baby dedication service scheduled on June 9th.

 

PASTOR SUPPORT TEAM

 

Beth Zboran—Melissa said that the surveys looked good , and the results would be shared with the church soon.

 

CHURCH POLICIES AND PROCEDURES

 

Clyde Waters-- passed around copy of the Decision Making Procedures and the Guidance Team voted to bring these to the church at the next business meeting June 16th for a vote.

 

UNFINISHED BUSINESS

 

TLC report has been furnished by Billy Bland.

 

Membership Identification—This has been completed, have not been finalized.

 

 

 

 

 

NEW BUSINESS

 

It was decided that Wendi Berg would be the moderator for all church business meetings, and Tom Morris would remain as Guidance Team leader.  Wadene made the motion, and Jef seconded.

 

 

Billy Bland made the motion that the meeting be adjourned.
